Description

CoviEvent is a simple, free online tool designed for organizers of private events and their communities (such as a conference, a club activity, or a family gathering).

The basic idea is to share a page where all participants can coordinate without having to call or email each other and without signing up for a carpooling site like mobicoop.fr.

This tool is intended for three types of people:

  • those who want to facilitate carpooling within their community to get to an event (the organizers)
  • those looking for a ride to their destination (passengers)
  • and finally, people who want to offer seats in their vehicle (drivers).


CoviEvent was designed to be as simple as possible to use, much like other organizational tools such as Doodle, Framadate, or Weezevent. No need to create an account or log in: only people with the link created by the organizer are authorized to make changes to carpool arrangements, thereby collectively contributing to the organization of eco-friendly travel.

The service protects the confidentiality and integrity of your sensitive data (email addresses, phone numbers, etc.), and this information will not be shared or used for any purpose other than the proper functioning of the CoviEvent private carpooling service.

CoviEvent, the carpool organizer—How does it work?

I am an event organizer and/or a member of a community interested in an event

I want to organize or facilitate carpooling for my family, friends, or colleagues to an event I’m organizing or that might interest them. It’s that simple!
  • I go to the CoviEvent homepage and select “Create my event.”
  • I enter the practical details about the event and my information (name, event title, description, address, image…), then I verify my email to receive confirmation that the event has been created.
  • I receive a confirmation email containing two links:
    • I share the first link with my community, which then has access to a private space dedicated to organizing carpooling. (I avoid sharing this link in public spaces to maintain the private nature of this space)
    • I keep the second link (reserved for the organizer) so I can make changes to my event later if I wish.
  • Am I participating in the event too? I lead by example for my community and use the private space I just shared with them to add myself as a driver or passenger (see below).

I am a driver

I received (via email or on my Facebook group) an invitation to carpool to an event. I’d like to offer the open seats in my vehicle to my community!
  • I click on the link I was sent and access a private space dedicated to organizing carpooling with other members of my community.
  • (optional) I start by filtering only the carpool rides leaving from my city (I might not need to take my car after all!)
  • I select “Add a driver”
  • I enter the practical details about my trip (dates, times, departure location, number of seats available, price per person, practical instructions for meeting up…)
  • I provide my email address so I can be notified of new passenger sign-ups, and so they can contact me.

I am a passenger

I received (via email or on my Facebook group) an invitation to carpool to an event. I don’t own a vehicle. I’m looking for a driver in my community who is going to the same event as me!
  • I click on the link I was sent and access a private space dedicated to organizing carpooling with other members of my community.
  • (optional) I start by selecting my departure city from the list, then...
  • "There are no vehicles available in my departure city, so I post my request"
    • I select “Add a passenger”
    • I enter the details of my trip (desired date, time, and departure location)
    • (optional) I can provide my email address to be notified of any changes (such as when a driver agrees to pick me up).
    • I am now registered as a "Passenger without a driver departing from..." the city I entered, and I am waiting for a driver.
  • "There are vehicles available in my departure city, and I want to add myself to one"
    • If I have already registered as a "passenger without a driver" (right-hand column), I can drag and drop myself into the car I’m interested in (it must have at least one available seat)
    • If I haven’t registered yet, I can add myself directly to an open spot (the “profile” icon with a “+” next to it). I must provide at least my name and phone number.
    • (optional) I can provide my email address to be notified of any changes (if the driver cancels the carpool, for example)
